
Every Dubai exhibition stand builder’s website says “trusted”, “creative” and “professional”. None of those words tell you whether your stand will be finished on time, built to the drawing you approved, or fixable overnight if something goes wrong on the show floor. These 10 questions do. Ask them before you sign, and pay attention not just to the answer but to how quickly and specifically it comes.
Do you fabricate in-house, or subcontract the build?
A good answer names the facility: size, location, and what happens there. “We have our own 15,000 sq ft production facility in Dubai Investment Park, and joinery, metal fabrication and paint work all happen on site” is a good answer. “We work with trusted partners” without a location or size is a broker, not a builder, and brokers add a margin without adding control over your timeline.
Are you an approved contractor at the venue I am exhibiting at?
DWTC, ADNEC and Expo City each maintain contractor approval processes. A builder who has been through it can tell you the submission deadlines and load-in rules from memory. One who has not will need to “check and get back to you”, which usually means they have not built there before.
Is your quote itemised, or a single lump sum?
A strong quote breaks out design, fabrication, graphics, transport, installation, dismantling, and any AV or staffing separately. A single number invites surprise add-ons once production has started, when you have the least leverage to push back.
Who is my day-to-day point of contact once we sign?
Look for a named Project Manager and Project Coordinator, not “our team”. A dedicated PM overseeing execution end to end, backed by a coordinator working with the production team, is how deadlines get held. If nobody can name who that will be, nobody currently owns your project.
What happens if something is wrong the morning of installation?
Every builder has an installation problem eventually; the difference is whether they have a crew and workshop close enough to fix it same-day. A builder fabricating locally can send someone back to the workshop and return within hours. A builder importing your stand cannot.
Do you inspect the stand before it leaves the workshop?
A quality control inspection before installation, separate from the production team building it, is what catches finish issues before they become a show-floor problem. Ask specifically who does this inspection and what they check.
How early do you need my final design confirmed?
For UAE shows, 2 months before show open is the standard lead time; international exhibitors should hear 3-5 months. If a builder says they can turn around a full custom stand in 2 weeks flat, either the design will be far simpler than what you asked for, or corners are being cut somewhere you will not see until install day.
Can I reuse this stand for a future show?
For stands of 54 sqm and above, ask specifically about storage and rebuild. A builder who offers this as a standard service (with a real saving figure, not “we can discuss it”) is thinking about your stand as a long-term asset, not a one-off sale.
Can you show me a stand you built at the show I am exhibiting at?
Not a rendering. A photo, with the client name, show and year. A builder with real experience at your specific venue can produce this in the conversation, not after a follow-up email browse our work to see the kind of documented, real-venue builds a strong answer should point to.
What is your track record, in numbers?
Years in business and projects completed are the baseline. Ask for both, and ask how they are verified (client references, project photos with dates). Vague claims of “years of experience” without a number attached are themselves a signal. You can see ours on our about us page.

Frequently Asked Questions
Should I choose the cheapest quote?
Not without checking what is included. A low quote that excludes installation, AV or dismantling can end up costing more once those are added back in. Compare itemised quotes, not headline totals.
How many builders should I get quotes from?
Two to three is usually enough to sanity-check pricing and approach. More than that mainly adds time without adding useful signal.
Does it matter if the builder is based outside the UAE?
It can. A builder fabricating locally can respond faster to last-minute changes and on-site issues than one importing your stand, which matters most in the final two weeks before a show.
What is a reasonable timeline from first call to signed contract?
For a straightforward custom stand, 1-2 weeks from brief to signed quote is typical, assuming your size and rough concept are already decided.
